x12port ("we," "us," or "our") is committed to protecting the privacy of our users. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the x12port platform ("Service"), you agree to the practices described in this Policy.

1. Information We Collect

1.1 Account Information

When you create an account, we collect your first name, last name, company name, work email address, and a hashed (bcrypt) version of your password. We never store your password in plain text.

1.2 Usage and Activity Data

We collect information about how you use the Service, including pages visited, features used, mapping configurations created, trading partners added, and actions logged within the platform (such as partner status changes). This data helps us improve the Service and diagnose issues.

1.3 EDI and Business Data

The Service stores EDI documents, mapping configurations, trading partner records, and contact information that you explicitly upload or enter. This data belongs to you. We process it solely to provide the Service and do not analyze it for advertising purposes.

1.4 Device and Session Data

For security purposes, we store information about trusted devices associated with your account, including hashed device identifiers. This allows us to detect logins from unrecognized devices and prompt additional verification.

1.5 Communications

When you contact us for support or when we send transactional emails (e.g., email verification codes, account notifications), we retain records of those communications.

2. How We Use Your Information

We use the information we collect to:

• Create and manage your account and authenticate your identity
• Provide, maintain, and improve the Service
• Send transactional emails such as email verification codes and account alerts
• Detect and prevent fraud, abuse, and security incidents
• Respond to your support requests
• Comply with our legal obligations
• Enforce our Terms of Service and Acceptable Use Policy

We do not sell your personal information or use it for third-party advertising.

3. Information Sharing

We do not sell, rent, or trade your personal information. We may share information only in the following circumstances:

• Service providers: We use trusted third-party services to operate the platform (e.g., email delivery, cloud hosting). These providers process data on our behalf under confidentiality obligations and are not permitted to use your data for their own purposes.
• Legal requirements: We may disclose information if required to do so by law, regulation, court order, or government authority.
• Protection of rights: We may disclose information to protect x12port's rights, property, or safety, or the rights, property, or safety of our users or others.
• Business transfers: In the event of a merger, acquisition, or sale of all or substantially all of our assets, user information may be transferred as part of that transaction. We will notify users before their data is transferred and becomes subject to a different privacy policy.

4. Trading Partner Data Visibility

x12port is a B2B platform where Client accounts can link trading partners to Developer accounts. By design:

• Developers linked to a client's trading partner can view EDI-specific contact information (name, EDI email, EDI phone) for that partner
• Business contact information (business email, business phone) is visible only to the Client account that owns the trading partner record
• Developers cannot access unrelated client data or other clients' trading partner records

5. Data Retention

We retain your account data and associated records for as long as your account is active. If you terminate your account, we will delete your data within 90 days, except where we are required by law to retain it longer. Aggregated or anonymized data that cannot be used to identify you may be retained indefinitely.

6. Security

We implement industry-standard security measures to protect your data, including encrypted communications (HTTPS/TLS), bcrypt password hashing, and multi-device authentication. No security measure is perfect, and we cannot guarantee the absolute security of your data. If we become aware of a security breach that affects your personal information, we will notify you as required by applicable law.

7. Cookies and Tracking

x12port uses session cookies to maintain your login state. We do not use third-party advertising cookies or cross-site tracking technologies. You can disable cookies in your browser settings, but doing so will prevent you from logging in to the Service.

8. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

• Access: Request a copy of the personal information we hold about you
• Correction: Request correction of inaccurate or incomplete information
• Deletion: Request deletion of your account and associated personal information
• Portability: Request a machine-readable export of your data
• Objection: Object to certain processing activities

9. Children's Privacy

x12port is operated from the United States. If you access the Service from outside the United States, your data may be transferred to and processed in the United States, where data protection laws may differ from those in your country. By using the Service, you consent to this transfer.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice within the Service at least 14 days before they take effect. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
