A complete walkthrough for businesses using x12port to manage their EDI trading partner relationships.

Getting started

Create your account

Go to /signup?type=client and fill in your name, company, and email. You will receive a 6-digit verification code by email — enter it on the verification screen to activate your account.

ℹ️ Make sure the email you sign up with is one you check regularly — verification codes and support replies go there.

Log in for the first time

After verifying your email, you'll be taken to your dashboard automatically. On future logins, if you're connecting from a new device or browser, x12port will send a one-time device verification code to your email. This is a security feature to protect your account.

Dashboard

Your dashboard at /dashboard is the control center for your account. It shows:

  • Active Partners — how many trading partner connections are configured
  • Transaction Volume — total EDI documents processed
  • Recent Activity — the latest transactions with status indicators
  • Quick Actions — shortcuts to add a partner, start a pipeline flow, or file a ticket
  • AI credits — your remaining balance for AI-powered features

Trading Partners

Trading partners are the companies you exchange EDI documents with — retailers, suppliers, 3PLs, or any other business in your supply chain. Go to /partners to manage them.

Adding a partner

  1. Click + Add Partner
  2. Enter the company name
  3. Select their industry (this helps configure which transaction sets are relevant)
  4. Select the connection method: AS2, SFTP, API, or VAN
  5. Enter their ISA Qualifier and ISA ID (your trading partner should provide these)
  6. Select the transaction sets you'll exchange (e.g., 850, 856, 810, 997)
  7. Optionally, enter their contact email and any notes

AI Auto-Fill

Click AI Auto-Fill on the partner form, describe the company in plain English (e.g., "large US retail chain, sells electronics, uses AS2"), and the AI will suggest the industry, connection method, and transaction sets. Costs 1 credit.

AI Setup Assistant

Not sure what your EDI setup should look like? Click AI Setup Assistant, describe your business, and the AI recommends the right industry category and transaction sets for your trading relationships. Costs 1 credit.

⚠️ ISA IDs matter. Your ISA Qualifier and ID (and your partner's) must exactly match what's in your EDI interchange headers. A mismatch will cause documents to be rejected or misrouted.

Transaction Pipeline

The pipeline at /pipeline is a Kanban-style board that tracks each EDI order cycle from start to finish. It follows the standard X12 retail order lifecycle:

Creating a flow

Click + New Flow, enter the reference/PO number, select the trading partner, add an optional description, and choose the starting stage. As the order progresses, click the advance button on each card to move it to the next stage.

Use the partner filter dropdown to focus on a single trading partner's flows, or leave it set to "All Partners" for a complete view.

997 Acknowledgment Tracker

Every EDI functional group must be acknowledged with a 997 Functional Acknowledgment. The tracker at /acks lets you log and monitor these obligations — both what you owe your partners and what they owe you.

Logging an acknowledgment requirement

Click + Log Ack Requirement, select the partner, direction (inbound or outbound), and the transaction set being acknowledged. Mark it as received or pending as documents flow in and out.

Most trading partner agreements require 997s to be sent within 24 hours of receiving a functional group. Staying on top of your 997 tracker helps avoid chargebacks and compliance issues.

Transaction Feed

The transaction feed at /transactions is a real-time log of every EDI document that has been processed through your account. For each entry you can see:

  • Transaction set type (850, 856, 810, etc.)
  • Direction (inbound or outbound)
  • Trading partner
  • Status (processed, pending, error)
  • Timestamp

Use the filters at the top to narrow by partner, transaction set, direction, or status.

Document Vault

The vault at /documents stores EDI and converted documents associated with your account. You can upload files directly, download stored documents, and view document details. Documents converted via the API can be auto-saved to the vault.

Billing & Plans

Visit /billing to see your current plan, purchase AI credits, or upgrade your subscription. x12port offers tiered plans — see /pricing for current rates and plan details.

  • AI Credits — each AI-powered feature (Auto-Fill, Setup Assistant, etc.) costs 1 credit per use
  • AI Support Chat — always free, no credits required
  • Subscription — monthly plans that include a credit allowance and platform features
